COMPENSATION: Compensation range is from $16.00 to $18.00 an hour, commensurate with education and experience. The position is a full-time (40 hours/week) appointment for 15 months, with benefits.

SCOPE OF WORK: The Urban Tech Jobs Program (UTJP) is a nationally award winning program changing the landscape of the Silicon Forest, provided by the Urban League and funded by the U.S. Department of Labor. UTJP is designed to introduce the long-term unemployed into middle-income careers in the technology sector. The UTJP Coordinator will support the program with documentation, filing, facilitation of program workshops, and program recruitment. The UTJP Coordinator will be responsible for gathering, creating, and tracking required documentation for the program’s day-to-day operations. In addition, the UTJP Coordinator will work closely with the UTJP Team Leader to be responsible for organizing program documentation and requirements. This position requires proficiency with computer skills using Microsoft Excel, Word, Outlook, and PowerPoint; along with organizational and time-management skills, adaptability, attention to details, good people skills, and an interest in helping adults become self-sufficient. The professional must be willing to participate in training as required, willing to travel, and attend Urban League events and related activities as necessary, which may include evenings and weekends. The position offers professional development and skills training, with the unique opportunity to engage directly with program participants.


1. UTJP Documentation • Assist with organizing and preparing, tracking and filing all required grant documentation including needs-based assistance, specialized participant services, budgeting, and intake documentation. File audits and other financials.

• Update online database using Product Data Management (PDM) to document and upload all required program updates and documents.

• Take the lead on purchasing items approved and requested by UTJP staff. Needs Based Assistance (i.e. bus passes, gas cards, rental assistance, etc.). Responsible for giving paperwork to participants and gathering, organizing all documentation from checklist to support Short-Term Rental Assistance (STRA).

• Provide basic program support, such as printing, copying, faxing, scanning; perform filing, and collating documents.

2. UTJP Program Facilitation

• Facilitate portions of the UTJP Workshop Series, managing sessions on job readiness and navigating job seeking skills (i.e. Resume Building, Impact of Rejection, LinkedIn and other Social media, etc.)

• Facilitate program intake testing and sessions. Track participant attendance, tech training status, on-the-job training activities, and other operations as needed for the program.

• Support explaining program expectations and eligibility during recruitment and open application period to program applicants at events and open information sessions.

• Gather application documents from UTJP Career & Life Coach intake sessions and track application completion. Follow up with applicants pertaining to missing documents.

• Take the lead on program administrative needs, including booking meeting rooms, create & print sign-in sheets, send

meeting invitations, compile program booklets, complete scanning & filing as necessary, etc.

3. UTJP Promotion and Marketing

• Support recruitment efforts for UTJP participants, attending functions when necessary, tabling at events, and speaking at partner organizations if needed.

• Confer with and represent Urban League in external meetings; foster collaborative working relationships to the benefit of the UTJP and the Urban League.

• Prepare a variety of written correspondence, reports, and emails in support of program operations.

• Create fliers and other materials to support program marketing, and track the success of various marketing efforts. • Manage UTJP online presence, including updates to website & social media posts using online tools (i.e., Twitter, Facebook, LinkedIn, etc.). Familiarity with Hootsuite is a plus.

• Manage the program legacy by taking and organizing photos, video clips, etc. Keep award recognition and be able to communicate and use information effectively to promote the program functions. Graphic design skills are a plus.

• Other duties as needed

3. Ability to follow directions, contribute to the overall success of the program, while keeping pace with the UTJP team.

4. Ability to write and communicate in a professional manner, with analytic skills. Strong public speaking abilities.

5. Ability to work independently and accurately with close attention to detail.

6. Ability to maintain confidentiality of sensitive information.

7. Ability to function in a positive manner and deal with distressed and/or demanding clients effectively.

8. Ability to take initiative and prioritize tasks; good time-management, critical thinking, and problem-solving skills.

9. Ability to prepare clear, accurate, and concise reports.

10. Excellent organization skills with the ability to follow through and meet deadlines.

11. Creative, result-oriented, self-starting, willing to learn, and able to manage multiple ongoing projects.

12. Ability to sit, stand, walk, talk on the phone and/or use computer for long periods of time.

13. Ability to work cooperatively with others and support the goals and mission of the Urban League of Portland.

14. Available to work flexible schedule, on occasions, evenings and weekends as required for special events.


An Associate’s Degree in Business, Office Technology, or related area, and two years’ progressively responsible administrative and/or business operations experience, required.


Four years’ progressively responsible administrative and/or business operations experience, required.

Experience in a non-profit or community based organization setting is preferred.

Administrative support experience, including: communication, technology, organization, planning, and problem solving skills

Ability to work and interact positively with team, volunteers, other staff and local partnering organizations

Proficient in use of Microsoft Office Excel, Word, PowerPoint, and Outlook
